Copy to Future Events

What is this for?

Copy to Future Events allows you to start with an event and copy a single item from that event to all selected future events in the same program on the same weekday. This allows you to have a Program that occurs on all week days (M/T/W/TH/F) yet have different people/horses on each week day moving forward. On Monday you might have one set of riders that is different than those on another week day for the program. It keeps your program list shorter as well since you don’t need 5 programs to do the same as this example. You can also select which dates in the future to apply these changes. An example is you have a lesson that occurs every weekday (M/T/W/TH/F) but has alternating weekly riders. One rider may have a lesson this Monday but not next and alternate weeks. You would select the alternating dates to apply changes as needed to events.

NOTE: A key feature of Copy to Future Events is how it handles anything ALREADY in the future. There are 2 ways to copy to selected future events:

  1. Copy a Single Item: This option will keep any existing items on future events. It WILL NOT REMOVE/OVERWRITE anything. It keeps volunteers, instructors, participants and horses in place if they are already there. Since Wranglr allows users to manage their own schedule we try to respect that as much as possible.
  2. Copy all of the items on this event: This option WILL OVERWRITE everything on the selected future events with whatever is on the event you are copying. Volunteers, Horses, Participants, Instructors, etc. will ALL BE REMOVED to make the selected future event look just like the starting event. There are exceptions to what will be added: availability is taken into account (if a volunteer is not available or has a day off, they will not be added to that date/time), if any item has a conflict (they are already on an event at the same time) they will not be added, horse usage is taken into account (horses cannot be used more than they are set up to be used).

 

What can you do with it?

  • Copy a single user (instructor, volunteer, participant, etc) or horse to selected events in the future on the same program and week day.
  • Copy all data on a program and week day to selected future events.
  • Remove an item from a single event and copy to selected future events

How to Copy a Single Item to Selected Future Events

  1. Edit the Event you want to work on
  2. Make any changes you want and when you are ready click the red Copy to Future Events button towards the bottom of the screen.
  3. Then click on the Select Dates button to see a list of events you can copy this change
  4. By default all of the events in the future will be selected. You can check/uncheck to apply to only those dates. NOTE: you can scroll to see more dates (in this example only 6 of the available 62 dates are shown. Scroll in the box with dates to see more).
  5. Next you’ll want to decide if you want to copy a single item or all items to selected future dates.
  6. Copy a Single Item: Select the radio button for the item you want to copy to the future (you can only choose ONE item):
    HINT: If you want to see future events before you copy click the green Show/Hide Affected Future Events button.
  7. Click the turquoise Copy Selected Items to copy the item to the selected future events.
  8. Copy all of the items on this event: See the section below for how to do this.

How to Copy an Entire Event to Future Events

  1. Edit the Event you want to work on
  2. Make any changes you want and when you are ready click the red Copy to Future Events button towards the bottom of the screen.
  3. Expand the section labeled “Copy all of the items on this event”
  4. HINT: If you want to see future events before you copy click the green Show/Hide Affected Future Events button.
  5. Click on the Duplicate to Future Events button. NOTE: this will replace all items on the selected future events with items on this event. This feature is best used when initially setting up a program. It can also be used to make big changes to a program just remember that any volunteers that have signed up for the selected future events will be replaces with those you are copying.

How to Remove an Item from All Future Events

  1. Edit the Event you want to work on
  2. Click the X next to the item you want to remove
  3. Click the radio button to remove the item from a single event or from this and all future events:
